FAQ: how does the matching with a crm work?

Leadinfo can match companies visiting your website with the companies in your CRM. This helps you keep your CRM up-to-date. Below we explain how the matching works, the criteria we use, and why sometimes a company may not be matched.

Matching criteria

We try to match companies using the following fields from your CRM:

  1. Domain (Website)
    Matching by domain works if the website recorded in your CRM exactly matches the domain in our Company Database.

  2. Chamber of Commerce (CoC) Number
    This is the most accurate way to match a company. The CoC number is unique for each company, which makes it highly reliable for identification.

  3. Phone Number
    Matching by phone number can be attempted, but only works if the number is exactly the same as the one we have in our database.

  4. Company Name
    Matching by company name is possible, but often fails because the name in the CRM may not match our database exactly. Variations in spelling and abbreviations are common issues, for example:

    Suppose the company in your CRM is saved as: "Leadinfo B.V"

    In our Company Database, the same company could appear as:

    "Leadinfo BV" or "Leadinfo B.V."

    Even though it’s clearly the same company, the slight difference in punctuation or spacing can prevent an automatic match.

    Another example:

    “Leadinfo V.o.F.” vs “Leadinfo VOF” vs “Leadinfo (VOF)"

    This is why matching by company name alone is usually insufficient, and multiple fields (or preferably the CoC number) are needed for an accurate match.

How matching works

  • For a successful match, multiple fields may need to match between your CRM and our Company Database.

  • The most reliable match is made with the CoC number. If your CRM contains the CoC number, we recommend mapping this field in Leadinfo’s field mapping. This way, we will always send the CoC number and can make an accurate match.

Reasons why a company might not match

Even with multiple fields, sometimes we cannot match a company. Common reasons include:

  • Differences in spelling or abbreviations in the company name (by example, “B.V.” vs “BV”).

  • Missing or outdated data in your CRM.

  • Partial matches where only one field matches, but not enough to confirm the identity.

  • Different phone numbers or domains than the ones registered in our database.

By ensuring the CoC number is mapped and used for matching, you can significantly reduce unmatched companies.
